These Terms & Conditions ("Terms") govern the tours, transport, car rental and related travel services offered by Pakistan Travellers ("we", "our", or "us"), a Rawalpindi-based, PTDC-registered tour operator. By placing a booking, paying a deposit, or otherwise using our services or website pakistantravellers.com, you ("the traveller", "you") confirm that you have read, understood and agree to be bound by these Terms. Please read them carefully before you book.
1. Bookings & Deposits
A booking is confirmed only when we have issued a written confirmation (on WhatsApp or email) and received your deposit. A 30% deposit of the total tour price is required to secure your dates, vehicles and hotel rooms. Until the deposit is received, quoted prices, availability and rooms are held on a best-effort basis and may change. You are responsible for checking that all names, dates, pick-up points and party details on your confirmation are correct and for telling us immediately if anything is wrong.
2. Payment
- The remaining balance is due no later than 7 days before departure, unless we have agreed a different schedule in writing.
- For bookings made within 7 days of departure, full payment is required at the time of booking.
- We accept bank transfer, and other methods where stated at the time of booking. You will receive a receipt for every payment.
- Failure to pay the balance by the due date may be treated as a cancellation by you, and cancellation charges (Section 4) may apply.
3. Prices, Inclusions & Exclusions
Each quotation and itinerary states exactly what is included. Unless expressly listed, prices do not include personal expenses, tips, entry fees not named in the itinerary, travel insurance, airfare, visa fees, items of a personal nature, or costs arising from delays outside our control. Prices are based on current fuel, hotel and permit costs; where these change materially before departure due to factors beyond our control, we will discuss any adjustment with you before proceeding.
4. Cancellation & Refunds by You
If you need to cancel, written notice (WhatsApp or email) is required. The following charges apply, calculated on the total tour price:
- More than 14 days before departure: full refund of amounts paid, less any non-recoverable third-party costs already committed on your behalf (e.g. non-refundable hotel or flight bookings).
- 7–14 days before departure: 50% refund.
- Less than 7 days before departure: no refund, unless we are able to re-book the reserved services to another traveller, in which case we will refund what we recover.
- No-show or early departure: no refund for unused services.
Approved refunds are processed within 14 working days to the original payment method or an agreed alternative.
5. Changes & Cancellation by Us
We occasionally need to change an itinerary — for example to adjust the order of sightseeing, substitute a hotel of equal or higher standard, or re-route around road conditions. Minor changes do not entitle you to a refund. If we must make a significant change or cancel your trip for reasons within our control, we will offer you the choice of an alternative of comparable standard, a re-scheduled date, or a refund of the recoverable portion of your payment.
6. Force Majeure
Mountain travel carries factors nobody can control. Weather closures, snow, landslides and rockfall, road or pass blockages, flight cancellations, strikes, civil disruption, government restrictions, epidemics and similar events ("force majeure") are beyond our responsibility. Where such events affect your trip we will do our best to reschedule or continue the itinerary safely, and will refund proportionally any recoverable third-party costs — but we are not liable for consequential losses such as missed onward flights, lost earnings or additional accommodation.
7. Travel Insurance
We strongly recommend that every traveller holds comprehensive travel insurance covering medical treatment, emergency evacuation from remote/high-altitude areas, trip cancellation, and loss of baggage. For treks and high-altitude routes this is especially important. Travel insurance is your responsibility and is not included in our prices unless expressly stated.
8. Health, Fitness & Altitude
Several of our routes reach high altitude (for example Khunjerab Pass at 4,693 m and Deosai above 4,000 m). You are responsible for ensuring you are medically fit for the itinerary you book and for disclosing any medical condition, allergy or mobility limitation at the time of booking so we can advise or adapt. Follow your guide's instructions on acclimatisation and safety at all times.
9. Traveller Responsibilities & Travel Documents
- You must carry a valid CNIC (Pakistani nationals) or passport and any permits (foreign nationals) required for the areas visited, including Gilgit-Baltistan entry documentation where applicable.
- You are responsible for your own passport, visa, and NOC requirements. We can advise, but we are not liable for denied entry to any area or country due to missing or invalid documents.
- You are responsible for your personal belongings throughout the trip.
10. Conduct
We ask all travellers to respect local culture, customs, communities and the natural environment, and to behave in a way that does not endanger themselves or others. We reserve the right to remove from a trip, without refund, any traveller whose behaviour is unlawful, unsafe, or seriously disruptive to the group or our staff.
11. Liability
We act in good faith as a tour operator and organiser. Every trip travels with vehicle insurance and experienced mountain drivers. However, to the extent permitted by law, our liability is limited to the value of the services you booked with us. We are not liable for injury, loss, delay or damage caused by circumstances beyond our reasonable control, by third-party suppliers, or by your own acts or omissions.
12. Third-Party Suppliers
Some elements of your trip — hotels, airlines, jeep unions, and independent activity providers — are operated by third parties. While we select suppliers with care, their own terms and conditions also apply, and we are not responsible for their independent acts, omissions or default beyond arranging a suitable alternative where reasonably possible.
13. Complaints
If something is not right during your trip, tell your guide or contact our office immediately so we can try to resolve it on the spot. If a matter remains unresolved, email us within 30 days of your return with the details and we will investigate and respond.
14. Website Content & Intellectual Property
The text, photographs, itineraries and design on pakistantravellers.com are our property or used with permission and are protected by copyright. You may not reproduce or republish them for commercial use without our written consent. Information on the website (prices, timings and availability) is provided in good faith and may change; the confirmed details on your booking take precedence.
15. Governing Law
These Terms are governed by the laws of the Islamic Republic of Pakistan, and any dispute shall be subject to the jurisdiction of the courts of Rawalpindi/Islamabad.
